Glossary

Key terms used across X0PA AI and this guide.

AI matching / match score

An AI-generated estimate of how well a candidate fits a vacancy, based on skills, experience, and other signals. Used to rank applicants. See AI matching.

Application

The link between a candidate and a specific vacancy. A candidate can have many applications, each with its own stage and status.

Autopilot

Per-vacancy automation that performs actions such as moving high-scoring candidates forward or sending emails automatically. See Vacancy settings.

Candidate

A person in your database. See Talent Pool.

Career page / microsite

A candidate-facing site where your vacancies are published and applicants apply.

Client

A company you actively recruit for (CRM). See CRM.

Contact

A person at a company/client — for example a hiring manager (CRM). See CRM.

Custom field

An organisation-defined field added to jobs, applications, or offers. See Custom fields.

Discipline

A functional area or job family used to classify vacancies and candidates.

Joinee

A hired candidate who is joining or has joined the organisation. See Joinees.

Knockout question

A prescreening question whose "wrong" answer automatically flags or rejects a candidate. See Prescreening.

Lead

A potential business opportunity (CRM). See Leads.

Offer

A formal proposal to a selected candidate. See Creating offers.

Pipeline

The set of stages candidates move through for a vacancy. Also called the workflow. See Understanding the workflow.

Prescreening

Questions asked at application time to filter candidates. See Prescreening.

Prospect

A potential candidate (or business contact) sourced beyond your existing Talent Pool.

Role (permissions)

Determines what a user can see and do. See Roles & permissions.

Stage

A single step in the hiring pipeline (e.g. Screening, Interview, Offer).

Status

A candidate's state within a stage (e.g. Shortlisted, On Hold, Rejected).

Talent Pool

Your organisation's full database of candidates. See Talent Pool.

TAT (Turnaround Time)

How long candidates take to move through stages — your time-to-hire. Reported in common reports.

Vacancy

A job opening you recruit for (also called a Job or Requisition). See Vacancies.

Vendor

An external agency/supplier that submits candidates. See Vendors.

Workflow

The configured pipeline of stages for a vacancy. See Understanding the workflow.
