Getting started​

How do I sign in?​

Open your organisation's X0PA AI URL and enter your email and password, or use SSO if your company has it. See Logging in.

I forgot my password. What do I do?​

Select Forgot password? on the login screen and follow the emailed reset link. If it doesn't arrive, check spam or contact your administrator.

Why do I see different menus than a colleague?​

Menus depend on your role/permissions and which modules your organisation has enabled. See Feature availability.

Vacancies & candidates​

What's the difference between a "Vacancy" and a "Job"?​

They mean the same thing — a job opening. X0PA AI's recruiter menu labels it Vacancies. See Key concepts.

How do I add lots of candidates quickly?​

Upload multiple resumes at once — X0PA AI parses them into profiles. See Adding candidates.

What does the match score mean?​

It's an AI estimate of how well a candidate fits a vacancy, based on skills, experience, and other signals. It's decision support, not a decision. See AI matching.

A candidate already exists — will I create a duplicate?​

X0PA AI flags likely duplicates when you upload or add candidates so you can merge instead. See Adding candidates.

Pipeline & interviews​

How do I move a candidate to the next stage?​

Open the candidate and use the stage/status control, or drag their card in the pipeline view. See Moving through stages.

How do I stop chasing interviewers for feedback?​

Filter the Interview area by Awaiting feedback to see who still owes an assessment. See Questions & feedback.

Offers​

Do offers need approval before sending?​

If your workflow includes approvals, offers route to approvers first. See Approvals & invites.

Data & privacy​

Can I export candidate data?​

Yes, most lists and reports can be exported, subject to your permissions and your admin's export configuration. Handle exported personal data responsibly.

A candidate unsubscribed — will they still get emails?​

No. The platform respects unsubscribes and won't include opted-out candidates in campaigns. See Templates.
