Vacancy settings

Each vacancy has settings that control how candidates are screened and how they move through your pipeline. Open a vacancy and go to its Settings to configure them.

AI settings

Control how X0PA AI scores and ranks candidates for this role.

  • Enable AI matching — turn scoring on so applicants are ranked by fit.
  • Weighting / criteria — emphasise the factors that matter most for the role (skills, experience, education, etc.), where your configuration allows.
  • Score thresholds — optionally flag or auto-progress candidates above a score.

Prescreening

Prescreening questions are asked when candidates apply and let you filter for must-have criteria before manual review.

  • Add questions (eligibility, notice period, salary expectation, work authorisation, etc.).
  • Mark questions as knockout to automatically flag candidates who don't meet a requirement.

Workflow (pipeline stages)

Define the stages candidates pass through for this vacancy — for example Applied → Screening → Interview → Offer → Hired. You can:

  • Add, rename, reorder, or remove stages.
  • Set the statuses available within a stage.
  • Configure actions that happen when a candidate enters or leaves a stage (such as sending an email).

Autopilot

Autopilot automates repetitive steps for a vacancy — for example automatically moving high-scoring candidates to the next stage, sending acknowledgement emails, or triggering prescreening. Enable it and choose which actions to automate.

:::caution Review automation carefully Automated stage moves and emails act on candidates without further confirmation. Test Autopilot rules on a small vacancy first, and make sure email templates are correct before enabling. :::

Saving

Settings save per vacancy. Changes affect how new and existing applicants are scored and routed, so review them before enabling automation.
