Creating a vacancy

Follow these steps to create a new job opening.

Before you start

Have the basics ready: job title, a description, location, employment type, and the key skills or requirements. If your organisation uses departments, clients, or custom fields, know which apply to this role.

Steps

  1. In the sidebar, open Vacancies → Add Vacancy.
  2. Enter the core details:
    • Job title
    • Job description (responsibilities and requirements)
    • Location and work type (on-site / remote / hybrid)
    • Employment type (full-time, contract, etc.)
    • Number of openings
  3. Set classification fields as required by your organisation — department, discipline, business sector, client/company, and any custom fields.
  4. Add the hiring team — the recruiters and hiring managers who will work this role.
  5. Choose the pipeline stages for this vacancy (or accept your organisation's default workflow). See Understanding the hiring workflow.
  6. Review and Save.

After creating a vacancy

Once saved, you'll land on the vacancy detail page. From here you should:

  1. Configure settings — turn on AI scoring, add prescreening questions, and adjust the workflow. See Vacancy settings.
  2. Add candidates — upload resumes, add from the Talent Pool, or publish to a career page. See Adding candidates.
  3. Share the vacancy with colleagues if needed. See Sharing & collaboration.

Editing a vacancy

Open the vacancy and select Edit to change any details. Changes apply immediately; existing applicants are not affected by edits to the description.
