Adding candidates

There are several ways to get candidates into X0PA AI. Choose whichever fits how the candidate came to you.

Upload resumes (CV parsing)​

The fastest way to add candidates in bulk.

  1. Open Source → Talent Pool, or open a specific vacancy.
  2. Select Upload (or drag files onto the upload area).
  3. Drop in one or more CV files (PDF, Word, etc.).
  4. X0PA AI parses each resume into a structured candidate profile — name, contact details, skills, and experience.
  5. Review the parsed profiles and save.

:::tip Upload straight into a vacancy If you upload resumes from within a vacancy, the new candidates are automatically added as applicants to that role and scored by AI. :::

Add a candidate manually​

For a single candidate whose details you already have:

  1. In the Talent Pool, select Add Candidate (or Create Profile).
  2. Enter their details — name, contact information, current role, skills.
  3. Optionally attach a resume.
  4. Save. The candidate now appears in your Talent Pool.

Let applicants apply​

Publish a vacancy to your career page so candidates apply themselves. Their applications flow straight into the vacancy's pipeline, with prescreening answers captured and AI scoring applied. Career-page publishing is configured per vacancy and by your administrator.

Source passively​

Use Find Candidates to surface existing people in your database (or connected sources) who match an open role, then add them to the vacancy. See Find candidates.

Duplicates​

If a candidate already exists, X0PA AI will typically flag a potential duplicate during upload or creation so you can merge rather than create a second record. Keeping the database clean improves search and reporting.
