Shortlisting & rejecting
Two of the most common pipeline actions are shortlisting candidates you want to advance and rejecting those who aren't a fit. Doing both consistently keeps your pipeline clean and your reports accurate.
Shortlisting
Shortlisting marks a candidate as one you want to progress.
- Open the candidate (or select several in the applicant list).
- Select Shortlist (or move them to the relevant stage/status).
- Optionally add a note explaining why.
Shortlisted candidates are easy to filter and are typically the pool you schedule interviews for.

Rejecting
Rejecting removes a candidate from active consideration for a vacancy (they remain in your Talent Pool for future roles).
- Open the candidate (or select several).
- Select Reject.
- Choose a rejection reason — for example Skills mismatch, Salary expectations, Withdrew, Position filled.
- Optionally send a rejection email using a template.
- Confirm.

:::caution Rejection emails If you choose to send a rejection email, it goes to the candidate immediately. Review the template and recipient before confirming. See Email. :::
Bulk actions
After a screening round you can shortlist or reject many candidates at once using the checkboxes and bulk actions in the applicant list.
