Moving candidates through stages
As candidates progress, you move them through the vacancy's pipeline stages. This keeps the pipeline accurate and can trigger automated actions such as emails or interview requests.
Moving a single candidate
- Open the candidate from the vacancy pipeline.
- Select the stage or status control (for example a "Move to stage" dropdown or a "Next stage" button).
- Choose the target stage and, if prompted, a status and any required details (such as a decision date).
- Confirm.

Some pipelines let you drag candidate cards between stage columns in the pipeline view.
Moving several candidates at once
In a vacancy's applicant list, select the checkboxes for multiple candidates and use the bulk action to move them to a stage together — handy after a screening round.
Stage actions
Moving a candidate can trigger configured actions, such as:
- Sending a templated email (e.g. an interview invitation).
- Requesting prescreening or an assessment.
- Notifying the hiring team.
These are set up in the vacancy workflow settings.
If Autopilot or stage actions send emails, moving a candidate may notify them immediately. Double-check the target stage before confirming a bulk move.
Decision dates & logs
Many workflows record a decision date when a candidate changes stage, and keep a full status log on the application. This history is visible in the applicant view and feeds reports such as time-to-hire.
