Managing users
Administrators manage who has access to X0PA AI and what role each person holds. Open Admin → Users.

Inviting a user
- Open Admin → Users.
- Select Add User / Invite.
- Enter the person's name and email.
- Assign a role (which controls their permissions — see Roles & permissions).
- Optionally assign a team and department (see Teams & departments).
- Send the invitation. The user receives an email to set their password and sign in.
:::note Inviting is fine; passwords are not You invite users by email and they set their own password. As an administrator you should never set or collect another person's password directly. :::
Editing a user
Open a user to update their name, role, team, department, or contact details. Changes to a user's role take effect on their next sign-in.
Deactivating a user
When someone leaves, deactivate their account rather than deleting it, so their historical activity (notes, decisions, placements) is preserved for reporting and audit.
- Open the user.
- Set their status to Inactive / Deactivate.
They can no longer sign in, but their history remains intact. You can reactivate later if needed.
