Deleting records
Sometimes records need to be removed — a duplicate, test data, or a candidate exercising their right to erasure. This page explains how deletion works and the safer alternatives to consider first.
Before you delete
:::caution Deletion is hard to reverse Deleting a record removes it and can affect linked data (applications, activity, reporting). Consider these alternatives first:
- Merge duplicates instead of deleting one copy (keeps the combined history).
- Deactivate a user rather than deleting them, to preserve audit history — see Managing users.
- Close a vacancy instead of deleting it, so its hiring history and reports remain. :::
Deleting a record
- Open the record (candidate, vacancy, company, contact, etc.).
- Select Delete (usually in an actions or overflow menu).
- Confirm the deletion when prompted.
Your ability to delete depends on your role/permissions — deletion is typically restricted to administrators or specific roles. See Roles & permissions.
Bulk deletion
Where supported, you can select multiple records in a list and delete them together. Take extra care with bulk deletion — double-check your selection and filters first.
Data-erasure requests
When a candidate requests erasure of their personal data, deleting their record is part of meeting that request. Combine deletion with your wider data-protection process — see Security & privacy.
