Adding & importing records

Before you can recruit, you need data in the system — candidates, vacancies, and (for agencies) companies and contacts. This section brings together every way to add and import records.

Companies & contacts (CRM)

If the CRM module is enabled, add the organisations you hire for and the people at them:

  • Leads — capture new business opportunities. See Leads.
  • Companies & contacts — the organisations and people you work with. See Companies & contacts.

Importing from a spreadsheet

Most record types support a spreadsheet import: download the template, fill one row per record, upload, map columns, review validation, and confirm. The bulk import guide walks through this flow for vacancies; the same pattern applies to other record types where import is available.

Keeping data clean: duplicates

When you add or import records, X0PA AI flags likely duplicates so you can merge rather than create a second copy. Clean data means better search, matching, and reporting.
